Job Description

Position Summary:

Reporting to our Facilities Team Lead, you will provide several office and location support activities. Identify specific processes to maximize the efficiencies of the business to which the support is being provided; ensure the correct functioning of office and business support services. Provide administrative support administrative details. Coordinate messages, appointments, caller information, file keeping, and mail. Operate automated office equipment.

Main responsibilities:

Comply with security, health and safety standards following established procedures. Partner with Goba Security, EHS, and Insurance & Rish Management.

Implement corrective actions to reduce/eliminate hazards identified in audits deployed in the department and ensure compliance with contractor safety requirements following established procedures.

Receive invoices and upload them to the SharePoint folder. Deliver invoices with at least 2% discount to the role designated for this purpose. Prepare digital carpet to record invoices. Coordinate with the courier the delivery of payments or deposits to banks.

Provide support to all external visitors and newly recruited visitors and refer them to the appropriate functional area. Maintain a proper record of all visitors.

Periodically to inspects office equipment and common areas of the facility to determine necessary repairs and report any identified anomalies.

Answer phone calls and transfer them. Support to the manufacturing plant with collaborators who need to make an external phone call. Keep the telephone directory and the list of extensions updated.

Coordinate the planning of the daily activities of our security and janitors' contractors, assigning the tasks and providing the resources they need to perform the job.

Assist the facilities team in the process of creating quotes and shopping carts to formalize facility work orders with external and your partners.

Assist the workplace services department in all administrative activities by supervisor to ensure the continuity of the department's processes and resource use.

Requirements:

College Student of Business Administration, Accounting or related field.

One years of related experience in reception or administrative areas.

Basic to intermediate level of English.

Office package knowledge.
