Who are Ayvens Ireland?

Located in Leopardstown, with a secondary office in Ballymount, Ayvens Ireland is a market leader in vehicle leasing and fleet management. We manage 20,000 vehicles on Irish roads, and with a team of over 100 employees, we operate as a small, agile local team, fully integrated with Ayvens and Société Générale. We combine the flexibility of an SME with the governance and reach of a multinational.

Where does this role fit in?

As our business expands, we’re focusing on formalising and standardising our project and change management processes. This role will be instrumental in shaping that strategy and ensuring its successful implementation.

This six-month contract is dedicated to designing and implementing a robust project portfolio model from the ground up, including governance, approval processes, reporting, and stage gates. This is a setup and transition role, establishing the framework and then handing it over to a senior member of our Digital & IT team who will assume long-term ownership.

You’ll play a crucial role in transitioning us to a project-focused delivery model that supports prioritisation, resource planning, budgeting, and rigorous stakeholder reporting. You'll also influence how senior leaders engage with structured project delivery, shaping both our project management approach and broader change strategy.

By the end of your contract, we expect a fully functioning portfolio model in place, with a trained internal lead and senior stakeholders aligned with the new way of working.

What will you be doing?Portfolio Setup: Design and implement a prioritised project management framework that aligns with our business strategy, ensuring clear direction and focus across all projects.Governance & Process: Create a tailored governance model with stage gates, approval workflows, and decision-making forums to ensure a disciplined, transparent approach to project management.Tools & Templates: Develop practical, user-friendly tools and templates for project planning, budgeting, risk management, and reporting to streamline project delivery.Change Leadership: Advocate for the new portfolio approach, demonstrating its value to key stakeholders and gaining senior leadership buy-in to ensure long-term adoption.Reporting: Establish a clear, structured reporting framework, providing real-time, actionable insights to management for data-driven decision-making.Coaching & Handover: Lead coaching sessions and knowledge transfer to an internal team member, ensuring a seamless transition of responsibilities and fostering the continued evolution of the portfolio model.What would our ideal candidate have?Proven experience in establishing PMO, PPM, or project governance frameworks in small-to-medium businesses, ideally within larger organisational structures.Experience in regulatory, compliance-heavy, or risk-sensitive environments.Expertise in project delivery methodologies (Agile, Waterfall, hybrid), including stage-gated models.Strong ability to collaborate with and influence senior business stakeholders, driving alignment and strategic decision-making.Ability to be hands-on with tools, frameworks, and reporting, not just overseeing them.A pragmatic mindset — understanding that not every project requires an extensive plan, but every project does need structure, clarity, and discipline.What qualifications or background would be useful?A third-level qualification in business, IT, project management, or a related field.7+ years’ experience in project/portfolio management or PMO roles, with at least 2–3 years dedicated to setup or transformation work.Experience in leasing, financial services, or automotive sectors is advantageous, though not required — we value diverse industry backgrounds.Recognised project/portfolio management certifications (e.g., PMP, PRINCE2, MSP, MoP, SAFe) are beneficial but not mandatory.Excellent communication and presentation skills, particularly the ability to communicate project risks, status, and blockers to non-specialists.What does Ayvens offer you?Immediate Impact: Work on a clearly defined project where your contributions will be felt right away, making a tangible difference in how we manage change.Meaningful Change: Drive impactful, effective change — quickly and without the delays of bureaucracy.Collaborative Environment: Be part of a supportive, innovative team that prioritises learning and career growth.Ownership & Flexibility: Take full ownership of how we execute change, empowering you to make a lasting difference.Competitive Contract Rate: A competitive day rate that reflects your experience and the value you bring to the organisation.Shaping Our Future: Play a key role in shaping the future direction of how we work.How do I apply?
