Project Billing Analyst

Your Role

As a Project Billing Analyst at Gensler, you will be responsible for financial management and analysis of the firm’s projects and business practices. You will thrive in this role if you bring a solid accounting or finance background and a keen eye for detail, helping ensure the financial health of projects throughout their full lifecycle—from due diligence to invoices, collections, budget tracking, and compliance. Join a team of highly creative, collaborative colleagues and work closely with project managers to ensure that our projects are both beautifully designed and financially sound.

What You Will Do

Work closely with Design Managers, clients, and consultants to address billing, budget, and financial compliance matters.Interpret and analyze financial data in contracts and billing documents, and clearly communicate findings.Support and follow up on collection efforts (Accounts Receivable / AR).Maintain, monitor, and analyze project-specific budgets, reports, and financial spreadsheets.Contribute to budget planning and tracking to ensure project financial goals are met.Determine the best billing terms and invoice formats based on contractual agreements.Prepare and process invoices in accordance with project terms and deadlines.Ensure all invoicing is supported by proper documentation and back-up as needed.Participate in regular meetings with Design Managers and Studio Directors to review billing schedules, budget status, held time, and outstanding collections.Prepare journal entries and investigate general ledger discrepancies.Gain in-depth knowledge of the firm’s accounting software to become a go-to resource for project teams.Collaborate with team members to maintain a high-performing, cohesive finance team, and support ad-hoc analyses or special projects.

Your Qualifications

Bachelor’s degree in accounting, finance, or a related field (required).Minimum 5 years of proven experience in billing, Accounts Receivable (AR), Accounts Payable (AP), and compliance.Solid understanding of project budget management and financial controls.Strong knowledge of compliance standards and contract administration.Bilingual in English and Spanish.Experience handling multiple currencies, exchange rates, and tax implications.Advanced Excel skills and proficiency in MS Office tools.Excellent interpersonal skills with the ability to engage and collaborate with diverse personalities.Strong organizational and time management abilities; able to handle multiple priorities under pressure.Analytical, proactive, and solution-oriented.Able to work independently while contributing to a team environment.Comfortable communicating with stakeholders at all organizational levels.
