KEY ACCOUNTABILITIES
Provide direct project support and general administrative support to the People and Culture functionSupport and Assisting the People Director with Meeting and Diary Managemente-Buy – ensuring that orders are captured and POs raised and processed via e-Buy and that the subsequent orders are followed up and receivedeContract - capture and manage supplier contracts and amendments on eContract, ensuring that they are fully approved by all relevant stakeholdersEasy Invoicing - Process invoices on Invoicing Workflow and keep record and reconciliation of the invoicesMy Travel/Concur - Book flights, accommodation and vehicle rentals on My Travel. Processes expenses on ConcurAssisting with population of spreadsheets for ad-hoc and project specific initiativesAssisting with presentation slides design and compilation as neededData gathering and paperwork coordination for project initiativesAssistance with coordination of paperwork and administration for International Mobility CasesMinute taking for P&C Team meetings and as directed by People DirectorPartake in the Employment Equity committee as Secretary – manage logistics for meetings quarterly, send out invites for meetings, minute taking for meetingsAssistance with P&C Events, ie Year end Functions, Wellness DaysGeneral assistance with admin and ad hoc tasksP&C filing – monthlyQuarterly updates of organogram on PowerPoint in line with Quality requirementsQuarterly job description auditAdhoc P&C tasksABOUT YOU:
JOB-HOLDER ENTRY REQUIREMENTS
Recent graduate (fully qualified) in Human Resources, business administration or commerceComputer skills: MS Office0-1 years’ experience in the Human Resource or Administrative function will be advantageousOrganizational skills: time management and interpersonal skillsExcellent verbal and written communication in Business EnglishAbility to initiate own communications, correspondence, meetings, etc.Ability to work with minimum supervision in a corporate environmentComputer Literacy – Word, Excel, PowerPoint, OutlookConfidentiality, trust, integrity, tenacity, timekeeping, resilience and adaptabilityAttention to detail, focused, proactive, results-orientated and self-drivenUse initiative within the framework of the position and its level of authorityWork as part of a teamBuild relationships across departments and functionsDemonstrate a high level of energy, drive and personal responsibility to achieve individual goalsPrioritise work according to importance and level of urgencyAble to work under pressure – commit to and respect deadlines, often at short noticeIdentify errors and take corrective action within area of responsibilityPLAY TO WIN BEHAVIORS
