Facilities & Workplace Coordinator

Your Role

The Facilities & Workplace Coordinator ensures the office operates smoothly and efficiently by managing administrative functions, coordinating logistics, and serving as the primary liaison with building administration and government agencies. This role is responsible for budgeting, vendor management, and overall workplace experience, while providing backup support for the front desk as needed. The position also supervises the cleaning team, ensuring high standards of cleanliness and hygiene throughout the workplace.

What You Will Do

Serve as a point of contact for building administration, vendors, and government agencies.Create and maintain a welcoming and productive office environment for employees and guests.Plan and execute logistics for internal and external office events (e.g., Town Halls, holiday/wellness events, office tours, client visits).Coordinate office moves, renovations, and workspace planning, including seating assignments and future space forecasting.Manage office-related budgets (supplies, services, maintenance, events, hospitality, etc.).Review and process invoices and purchase orders for office services.Identify opportunities to improve administrative processes and drive efficiency.Maintain office security protocols and access control systems. Supervise the cleaning team, managing schedules, performance, and quality control to ensure a clean, safe, and hygienic work environment.Provide backup coverage for the receptionist during absences or as needed.

Your Qualifications

Bachelor’s degree in business administration or related field required. 5+ years of experience in office or facilities management, with a strong focus on operations and logistics. Bilingual in English and Spanish Proven experience in event planning and execution. Strong customer service and stakeholder engagement skills. Excellent communication, organizational, and problem-solving abilities. Ability to manage multiple priorities independently with high attention to detail. Proactive, solution-oriented mindset with a commitment to continuous improvement.
