Learn more at https://www.jnj.com/medtech The Executive Marketing Assistant provides administrative support to the Vice President of US Marketing. This position is generally varied, including complex administrative duties and project-oriented assignments requiring the use of sound judgment and discretion, independent assessment and resolution of complex situations/problems. Duties will include managing complex and changing calendars, scheduling and support in meetings, making complex domestic and international travel arrangements, partnering with members of the team who reside in other geographic locations and managing expense reports. The Executive Marketing Assistant will also have clear duties to help with department internal and external communication, manage the Purchase Orders process and support the Customer & Channel Team to ensure RFP payments with professionals are correct and made on time. This person will have regular contact with senior management within & outside Johnson & Johnson Vision to provide or gather information, often of sensitive and confidential nature. This position may have to respond to routine correspondence under own signature or draft response for leader's review on more complex correspondence. The candidate will follow up on items delegated to others by leaders, screen calls and respond to complex inquiries from all levels of employees or external sources regarding a variety of questions. The person must have ability to make last-minute changes to calendar due to shifting priorities, excellent collaboration and teamwork skills are required in order to coordinate with other administrative staff to accomplish departmental activities. Exercises independent discretion and judgment and solves complex problems. Full latitude to change work processes and workflow is provided. Adheres to environmental policy and procedures and supports department environmental objectives. **Qualifications:** + Bachelor or equivalent required. Master preferred. + 8+ years administrative experience of which a minimum of 3 years must be in supporting multiple director level and above leaders as an administrative assistant + Exceptional interpersonal, communication, organizational and multi-tasking skills + Ability to work under pressure and meet deadlines; incumbent must possess extensive knowledge of and demonstrate expert level proficiency with personal computers working with Microsoft office programs (Word, Excel, PowerPoint, Outlook, etc.). + Must have proven learning ability for new systems and processes; experience with expense reporting systems, creating and maintaining a file organization system using SharePoint, and web conference planning experience is required. + Must possess strong organizational skills and attention to detail + Must also be a team player, have the ability to juggle competing priorities, possess strong time management skills, follow up skills and have a track record and reputation for providing exceptional customer service.
